Ukrposhta is the national postal operator of Ukraine, providing logistics, financial, and postal services across the country. The company processes large volumes of primary documentation, collaborates with thousands of suppliers, and actively implements digital tools to improve business process efficiency.

Project

Ukrposhta, together with the Ukrainian product IT company IT-Enterprise, has implemented a large-scale project to deploy an AI agent for processing primary documents.

Within three months, the AI agent processed over 26,000 documents, fully taking over routine verification and data entry operations. The solution reduced the error rate to 0.5% and significantly accelerated financial period closing. The accuracy of AI-powered document processing reached 99.5%.

AI Automation of Primary Document Processing

The AI agent (named Marko within the Ukrposhta team) provides a full-cycle workflow for primary documentation — from recognition to validation and ERP integration.

The interaction between the AI agent and the ERP system enables:

  • recognition of documents in various formats;
  • automatic reconciliation with contracts and specifications;
  • compliance checks against agreed terms;
  • escalation for additional processing only in cases of discrepancies.

A key challenge of the project was data standardization: suppliers submit documents in hundreds of variations — with different structures, wording, and levels of detail. The AI agent not only recognizes and extracts text but also interprets the content, ensuring accurate accounting.

At the same time, Ukrposhta adapted its internal processes to synchronize the AI solution with contracts, primary documents, and ERP. This helped eliminate data duplication and improve data consistency.

AI Agent Capabilities for Document Processing

The AI solution operates without manual data entry and includes the following key functions:

  • document import and batch processing;
  • document type classification;
  • extraction of relevant data;
  • validation of details and contract terms;
  • intelligent matching with reference data and contracts;
  • automatic integration with the ERP system by IT-Enterprise.

The AI agent operates according to business rules, takes context into account, and involves human specialists only in cases of discrepancies.

The implementation of the AI agent has elevated document processing to a new level of operational efficiency:

There has also been a significant reduction in the workload of the finance team. As a result, specialists now focus only on complex or exceptional cases, while the majority of routine operations are handled by AI.
